Assistant to Estates and Facilities Director
Job description
The closing date for this vacancy has now been extended to Sunday 24th March 2019.
Fixed term contract until 8 April 2020 (maternity cover)
Full Time (37 hours per week)
Background
We are looking for a hardworking and enthusiastic individual to support the Director of Estates & Facilities and the senior team, to assist in the delivery of an excellent service.
We are looking for a motivated well organised customer focused person to join our team, who enjoys a varied workload. This is a maternity cover post, for an anticipated 12 month period.
The Role
Key responsibilities will include:
*
Comprehensive diary management, including bringing forward any information and papers for scheduled meetings and preparation of meeting agendas where required.
*
Deal with incoming email, post and calls, corresponding on behalf of the Director, where necessary to a range of staff and stakeholders.
*
To analyse and prepare initial comments for the Director in relation to project work.
*
Assist the Director to ensure that work assigned to the Senior Management Team receives prompt action and any actions are followed up.
*
To provide administrative support to the Director's meetings and the estate's senior management team meetings and assist the estates management team with administrative work where required.
*
Use all the University software systems efficiently and effectively, including purchasing and procurement assistance
The Person
The ideal candidate will demonstrate:
*
Confidentiality, be trustworthy and use absolute discretion at all times.
*
Have excellent communication and interpersonal skills, knowing how to tailor messages for any audience.
*
Be a highly skilled multi-tasker, quickly identify and prioritise key issues and carry out tasks effectively.
*
Be resilient by nature with a positive attitude, you take on new tasks and relish a challenge.
*
Have excellent word processing and IT skills, including knowledge of a range of software packages such as Outlook, Excel, PowerPoint, and internet explorer.
*
Be confident, and a team worker with a good sense of humour.
Additional Information
Any internal applicants wishing to apply on the basis of a secondment from their current position should seek approval for such an arrangement from their current line manager at the earliest possible opportunity/ before applying for the job role.
This appointment is for a fixed term period to cover maternity leave and therefore service with the University will end when the person on maternity leave returns to work and no later than 8 April 2020.
